Learn how to configure a scheduled task to automatically and permanently remove contacts from a database that meet certain criteria.
Creation
Go to the "Settings" menu and click on "Scheduled tasks".
You will see the page with the list of scheduled tasks, which will be empty on your first access.
Click the "New task" button at the top right and define:
- Task Name
- Context: Database
- Database: select the target database on which the task should be executed
- Task type: Automatic Contact Export
Then click the "Save" button.
General settings configuration
After creating the task, you will be directed to the "Settings" section to define the task's general configurations.
For more details on configuring the settings found in the "General", "Scheduling", "Email notifications", and "Post-execution task" tabs, refer to the article How to create scheduled tasks: general settings
To define the rules for the automatic removal of contacts, go to the "Task" tab. More details in the next section.
Task
In this section you define the rules for the automatic removal of contacts.
By default, you are offered the permanent deletion of contacts whose unsubscription date is older than the last 90 days and whose status on the database is Unsubscribed. You can modify, add, or remove the rules, defining the desired logical expression.
With the button "Count filtered contacts" you can check the number of contacts that meet the logical expression at the exact moment the system performs the count.
Once permanently deleted, the contacts cannot be recovered.
If deemed appropriate, you can activate the option to add recipients (email and/or SMS) to the Blacklist to prevent new imports of contacts (e.g., unsubscribed) that should not be managed on the platform.
For contacts already in the Blacklist, you can also overwrite the previous reason with the reason Permanent Deletion: to do this, simply activate the option Overwrite the reason why and the input date for addresses already in the Blacklist.
Execution of the task
Once all parameters are set, select the Save button at the top right of the page.
If you wish to run the execution immediately, click on Run now at the top right. You will be asked to confirm the immediate start of the execution.
Upon completion, a detailed report will inform you of its outcome.
Export configuration
With the Export configuration function available in the context bars on the right, you can download and save an .xml file with the defined configuration.
This allows you to import the configuration file into other scheduled tasks of the Contacts permanent Deletion type, even from other platform accounts.
To import the .xml file with the configuration, simply use the Import configuration button available in the General section of the scheduled task.
