This type of scheduled task lets you automatically export the responses received for a specific landing page configured as a form, survey, customer satisfaction questionnaire, etc.
The task allows you to automate transferring data collected from landing pages to external systems (CRM, BI, corporate databases), avoiding manual exports and ensuring consistent, timely updates.
Creation
Go to the Settings menu and click Scheduled tasks.
You will see the page with the list of scheduled tasks, which will be empty on first access.
Click the button at the top right New scheduled task and define:
- Task name
- Context: landing page
- Task type: responses export
- Notes: any descriptive information
Click Save.
After creating the task, you are taken to the first configuration step, called Settings, where you need to define the general configurations for the task.
On the right, you will find the Task menu, which guides you through the configuration steps:
- Settings
- Data to export
- Column configuration
- File format
- File destination
Settings
In this section you define the general settings of your task. See the article How to create a scheduled task: general settings for more details.
Specifically, for this type of scheduled task, select the Landing page for which you want to automatically export the responses received (e.g., Open Day survey):
If you already have a file layout generated with the Export configuration function available in another scheduled task configuration, click Import configuration. You will access a guided flow where you can select that file by drag-and-drop or upload from the local FTP of your magnews account or from the File exchange section in magnews.
Click Save to complete the operation.
If instead you need to configure the landing page responses export task from scratch, continue with the following sections of this article.
Data to export
Select contacts using a simple filter (e.g., contact status, language, region, etc.) or by writing a query:
Choose whether to export all responses received or only completed or partial responses:
For multi-page forms/surveys (landing pages), you can select which page you require to have been completed. For example: if you select Page 1, only responses from those who completed at least page 1 will be exported (note: they may also have completed other pages). Select Do not apply if you do not want to apply this type of filter:
Decide whether to export only the responses received within a specific time period and whether to include test responses performed during the tests that preceded the landing page go-live:
Note: if you define a time period, make the scheduling frequency consistent with that period (e.g., if you only need responses from January 1 to 31, 2026, it will not be useful to export data after that period).
Column configuration
In this section, define the information/responses to export.
Columns are the fields (or questions) contained in the form/survey that contacts responded to.
Click Add a column for each field/question you want to include in the file; you can select:
- Session details (e.g., Start date, Contact ID, IP address, ...)
- Contact details (e.g., Email, First name, Last name, ...)

Landing page responses
- These are the answers provided by contacts to your form/survey
- Contact statistics (e.g., Overall engagement, Emails sent to the contact, SMS sent to the contact, ...)
For each field, you can also:
- Use the hand-and-note icon to manage a field transformation

By transformation we mean the ability to automatically modify the values in the outbound file to convert them to your needs.
For example, for a Net Promoter Score (NPS) question, you could use the Value mapping option, where: for any answer from 1 to 6 you assign Detractor, for answers 7 or 8 Passive, and for 9 or 10 Promoter:

- Use the trash can icon to remove the column if you added it by mistake
- Define the number for each column so they are ordered in the exported file (e.g., column "1" will be the first)
File format
Define the characteristics that the file you prepared for export will have:
File destination
Choose where to save the generated file with the responses:
- FTP of this account, if the file must be hosted in magnews
- File server, if the file must be placed on a remote server outside magnews
If you choose FTP of this account, select the internal FTP folder for the account:
If you choose File server instead, select the remote server and the folder in it where to save the files:
Finally, if you enable the option Do not export the file if there are no results and no contacts are found, the results file will not be generated and exported.
If you prefer to still see the file without results (header only) to ensure the operation ran, leave this option disabled.
Task execution
Once all parameters are set, click Save.
If you want to run it immediately, click Run now. You will be asked to confirm the immediate start of the execution.
At the end, a detailed report informs you of the outcome.
