Magnews provides tools to manage unsubscribed contacts' data in a customized way, allowing you to delete such data or keep it in anonymised form.
Consent for profiling
When a contact grants or withdraws consent to the processing of their data for profiling purposes, this preference can be saved to a specific system field in the database.
This Yes/No field is named Disable contact profiling (ID:NOTRACK):
The value of the Disable contact profiling field is linked to the preferences configured in the Contact profiling section, which you can find at Global Database > Dashboard > Setup > Privacy:
If the value of the Disable contact profiling field is set to Yes, on this page you can choose between:
- Record the events without making them visible to the user
- contact data will be used only for aggregated reports, which cannot be traced back to the contact's information
- Do not record events
- no data related to the individual contact will be tracked, neither for profiling purposes nor as aggregated data for reports or statistics
To bulk update the value of the Disable contact profiling field for multiple contacts, go to the database contact list and apply any filters.
From the Actions menu for contacts, choose Update field:
Select the Disable contact profiling field and the value Yes; click Start activity to run the action:
The following screen confirms the outcome of the activity:
In each contact's profile, the Contact profiling field will show Disabled, in the Preferences section of the Settings tab:
Data anonymisation
The Disable contact profiling field lets you “hide” the data of a contact who has withdrawn or not given consent to profiling.
In the privacy settings you can also define how to handle a contact's data when they unsubscribe.
For each database field, magnews lets you enable - in the field edit section - the option Anonymise data at the time of unsubscription:
This option enables you to define how contact data is retained in the relevant database.
In the Managing the data of unsubscribed contacts section in the Setup of the Global Database, you can choose one of the following three options:
- Anonymise on user request
requires manual action by the magnews user to anonymise contacts, by opening the unsubscribed contact's profile, performing bulk edits, or using import tools - Automatically anonymise on unsubscription
the contact's data is anonymised automatically when the contact unsubscribes - Keep the data visible
the unsubscribed contact's data is retained in clear text in the database, and magnews users will not be able to anonymise it
Anonymise on user request
To proceed with anonymisation, go to the list of unsubscribed contacts and select the ones you want to process.
From the Actions menu for contacts, choose Anonymise data:
Click Start activity to run the action:
The following screen confirms the outcome of the activity:
Automatically anonymise on unsubscription
When automatic anonymisation is enabled, magnews will anonymise the fields that have the Automatically anonymise on unsubscription option enabled.
Note: once anonymisation has been completed - whether on user request or automatic - you will no longer be able to view the data in the anonymised fields:
