What is File sharing
File sharing is an area that allows users to securely and reliably share documents (e.g., contact files, contents, etc.) without using email exchanges or third-party file sharing services.
Access and file sharing are permitted to users with the highest operational permissions; for example, access is granted to users with the roles of Administrator or Manager, while it is restricted for those with roles like Statistics Access or Guest.
How to access File sharing
To upload files and share them with other users, click on your username at the bottom left and then on File sharing:
Shared files
A dedicated screen shows the list of files already shared among users:
and for each file:
- File: click to view all details in full
- Size: check the file's weight
- Description: optional text providing a summary of the content
- Info: indicates whether the file is private or shared with other users
- Modified: date and time of the most recent upload (a file can be re-uploaded and overwritten multiple times)
- Created by: user who uploaded the document
- Actions (...): download, edit, or delete the document
Uploading new file
Click on Share file to upload a document and make it available to other users:
For each uploaded document, you are required to:
- Select or drag the file
- Provide a description (optional)
- Share as read-only (optional): the file can then only be downloaded, not modified, by other users

Specify who is allowed to view and download:
- Only the owner
- All users
- The owner and selected users
Finally, before clicking the Share button at the top right, you must accept the conditions set by the terms of service for file sharing on the platform.
File retention time
Shared files are configured with a retention time (in days), after which files are automatically deleted.
This feature allows you to delete obsolete files and optimize the space used; the number of days set ranges from a minimum of 1 to a maximum of 545, and by default, files older than 90 days are deleted.
From the list of shared files, click the Edit retention button to enable/disable automatic file deletion and set the desired number of days:
