What is file sharing
File sharing is an area that allows users to securely and reliably share documents (e.g., contact files, content, etc.) without resorting to email exchange or third-party file sharing services.
Access and file sharing are allowed for users with the highest operational permissions; for instance, access is granted to users with the roles of Administrator or Manager, while it is restricted for those with the Statistics Access or Guest role.
How to access file sharing
To upload files and share them with other users, click on your username at the bottom left corner
Shared Files
A dedicated screen displays the list of files already shared among users and for each file:
- Name: click to view all details in full
- Size: file weight
- Description: optional text providing a summary of the content
- Author: user who uploaded the document
- Upload Date: date and time of the latest upload (a file can be re-uploaded and overwritten multiple times)
- Actions: download, edit, or delete the document
For shared files, a retention period (in days) is configured, beyond which the files are automatically deleted.
This function allows for the deletion of obsolete files and optimization of the used space; the number of days set ranges from a minimum of 1 to a maximum of 545, and by default, files older than 90 days are deleted.
Uploading a new file
Click on Share new file to upload a document and make it available to other users.
For each uploaded document, you are required to:
- Select or drag the file
- Provide a description (optional)
- Share with read-only access (optional): the file can then be downloaded but not modified by other users
-
Specify who can view and download:
- Owner only
- All users
- Owner and selected users
Finally, it is mandatory to accept the conditions established by the terms of service for file sharing on the platform.
